SALES SECRETARY/ADMINISTRATOR

Introduction

To support and assist the Sales Director with the department’s administration

Desired experience and qualifications

Grade 12

3 Years Secretarial/sales experience

Computer literate—MS Office (must be extremely literate on Excel and PowerPoint)

Excellent communication skills

Duties & Responsibilities

Guarding Sales Department:

  • Work and personal duties for the Sales and Marketing Director
  • Credit card recon’s (double checking of slips and cost codes—submit to accounts

department for payment

  • Attendance register to be updated daily and submitted on a weekly basis to HR with all

signatures and supporting documents

  • Taking minutes of sales meetings
  • Sales report—consolidate and ensure up to date for monthly sales meeting with Group

Managing Director

  • Handling all marketing and advertising for the department
  • Website administration
  • Weekly sales customer calls
  • Updating of the sales white board
  • Keeping the CR file and spreadsheet updated
  • Booking of training and keeping training schedule updated to be submitted to HR monthly
  • Handling of petty cash
  • Ordering of department stationary
  • Monthly readings for the Konica equipment
  • Doing all PO’s and submitting to the Accounts department for payment
  • Handling the rugby list for the entertainment of the clients at Ellis Park
  • Updating clients gift register for Birthday and Christmas gifts
  • Weekly TMS reports
  • Doing Excel spreadsheet for the budget
  • Handling all leave forms the sales staff
  • Keeping training registers updated
  • Taking stock and doing ordering of beverages
  • Handling uniform for management and office staff and doing stock take
  • Any ad hoc duties for the CEO—Mr Clive Zulberg
  • Creating all PO’s on Fraxion for services, repairs, tyres, etc
  • Reconciling Standard Bank credit card and submitting to accounts
  • Ordering of groceries and stationary
  • Weekly TMS reports
  • Increase of services letters to clients, signed letters returned by clients to be submitted to

accounts to accompanied invoices to clients
